How TravelGrid collects, uses, protects, and otherwise handles your personal information.

Last updated: 21 September 2026

Channel Mentor IT Solutions Pvt. Ltd. (“TravelGrid”, “us”, “we”, or “our”) operates the website https://travelgrid.in (the “Site”) and the TravelGrid corporate travel and expense management platform (the “Service”). This Privacy Policy explains what personal data we collect, why we collect it, how we use and protect it, and the choices you have. By accessing the Site or using the Service, you agree to the practices described below.

1. Information We Collect

We collect information you provide, including your name, business email address, phone number, company name, and designation, when you request a demo, subscribe to our newsletter, or contact our support team. We may also collect details you enter into the Service while submitting travel requests, approvals, expense claims, and reimbursement information. When you use the Site, we automatically collect technical information such as your IP address, browser type, device type, pages visited, and referring URLs through cookies and analytics tools.

2. How We Use Your Information

We use the information we collect to: provide, operate, and maintain the Service; respond to your enquiries and requests for demonstrations; process travel and expense workflows you authorise within the Service; send you service-related communications and, only with your consent, marketing updates; improve the Site, the Service, and user experience; and comply with our legal and regulatory obligations. We do not sell your personal data to any third party.

3. Legal Basis for Processing

We process personal data on one or more of the following bases: performance of a contract with you or your organisation; your consent, which you may withdraw at any time; our legitimate interest in operating and improving our business; or compliance with legal obligations applicable to us.

4. Cookies and Analytics

The Site uses cookies and similar technologies, including Google Analytics, to understand how visitors use the Site and to improve its performance. You can control or disable cookies through your browser settings. To learn more about the cookies we use and how to manage them, please read our Cookies Policy.

5. Sharing and Disclosure

We do not rent or sell your personal data. We may share personal data with: service providers and vendors who help us operate the Site and the Service (such as hosting, analytics, and support providers) and are bound by confidentiality obligations; your organisation and its authorised administrators where you use the Service on behalf of an employer or enterprise customer; and government or regulatory authorities when we are legally required to do so.

Sub-processors. Our enquiry and demo-request forms are submitted through Formspree, which acts as a sub-processor and transmits your form submission to us by email on our behalf. Formspree processes the details you submit — your name, business email address, company, and city, the topic you select, and any message you include — and does not use them for its own marketing. Google Analytics, as described in section 4, is a separate sub-processor that receives analytics event data from the pages you visit. If the forms are not configured for online submission, the form instead opens your own email application and the data stays with your email provider until you send it.

6. Data Retention

We retain personal data only for as long as necessary to fulfil the purposes described in this Policy, to provide the Service to you and your organisation, and to comply with legal, accounting, or reporting requirements. When personal data is no longer needed, we securely delete or anonymise it.

7. Data Security

We follow industry-standard technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure, or destruction. These include access controls, encrypted transmission, and monitoring of our systems. No method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

8. Your Rights

Depending on your jurisdiction, you may have the right to access, correct, update, port, restrict, or delete the personal data we hold about you, and to object to certain processing. If you are in the European Economic Area or the United Kingdom, these rights are granted under the GDPR; if you are in India, they are in line with the Digital Personal Data Protection Act, 2023. You may exercise these rights by contacting us at the details below. We will respond within the timeframes required by applicable law. You may also lodge a complaint with your local data protection authority.

9. Children’s Privacy

The Site and the Service are business-oriented and are not intended for children under the age of 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us so that we can delete it.

10. Third-Party Links

The Site may contain links to third-party websites, plugin providers, or services. We are not responsible for the privacy practices or the content of those third parties. We encourage you to read the privacy policies of any third-party website you visit.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date at the top of this page and, where appropriate, notify you. We encourage you to review this page periodically to stay informed about how we protect your information.
